Summary
We are looking for a graduate to support our People team and office operations. In this role, you would craft and maintain a working environment that fuels collaboration, productivity, and team building for Keyrock’s offices in and outside of Belgium. As a member of People Operations, you’ll drive hybrid engagement programs and activities for our global team, and manage international travel arrangements for visitors to Brussels HQ. You’ll contribute to data management, onboarding, and other HR processes that you’re eager to explore.
An ideal candidate shares our enthusiasm for strategically designing processes and policies collaboratively as a team. To thrive in this role, you should be motivated to achieve a growing degree of independence and autonomy as you execute a variety of day-to-day tasks and improvements. Upon successfully completing this internship, there is a possibility to convert to a permanent role with enriched responsibilities. This role requires a minimum of 4 days per week in-office at our HQ in Brussels (Ixelles).
Job description
- Oversee facilities-related activities at the office and staff apartment, ensuring that these are always safe, comfortable, and engaging spaces. Replenishing supplies, organising repairs and maintenance, and implementing visitors’ feedback.
- Coordinate online and offline activities for our employees and participate in our Engagement Committee.
- Arrange travel itineraries, accommodations, and transportation for employees visiting our offices.
- Assist new members of the company who are onboarding in Brussels, or first-time visitors to the office.
- Maintain physical and digital office/HR records, ensuring confidentiality and security.
- Serve as a point of contact for partners, visitors, and suppliers. Manage incoming calls and emails, and handle office-related inquiries effectively.
- Collaborate cross-functionally with Security, IT Support, Finance, and building reception to run and improve employee onboarding and events.
Background, experience and competences:
- Organisational and time management skills, with the ability to prioritise tasks and responsibilities effectively under pressure.
- Exceptional interpersonal skills to build positive relationships with teammates, office regulars, and visitors.
- Strong attention to detail and problem-solving abilities with respect to physical and hybrid working environments.
- Ability to combine strategic thinking with operational delivery. To both conceptualize a program or event and execute the steps to bring it to life, for example.
- Collaborate seamlessly as a partner to multiple office-based and remote teams.
- Practice excellent written and verbal communication skills internally and with third parties. Fluency in English (our working language) and French is required. Flemish is a plus.
- Proficient in using office software, especially Google Docs, Sheets, and Slides. Experience with Notion is a plus.
- Previous experience in an HR/administrative/business operations role is a significant plus.
- Ability to operationalize automation/AI tools is a strong plus.
