Job Overview:We are seeking an Operations Champion to join our dynamic team. This role involves managing a wide range of operational tasks, supporting our team in delivering exceptional client service, and ensuring the smooth running of our podcast and daily operations. The ideal candidate will have a strong background in operations, preferably with experience in the Web3 domain. 

Time Zone requirements: Minimum of consistent 40 hrs a week of availability (excluding breaks, meals) between 7am PST and 5pm PST Monday to Friday plus as-needed support occasionally on weekends. High speed internet and ability to conduct video calls in a quiet private environment is mandatory.

Responsibilities:

  1. General Operations:
  2. Oversee team management, including email follow-ups and internal communication and tools
  3. Create and update project documentation, including production matrices, run-of-show notes, and event coordination.
  4. Conduct end-of-campaign tasks, including gathering campaign results and creating client reports
  5. Client-Facing Operations:
  6. Communicate with external parties regarding podcast shows via email, website, and additional various platforms.
  7. Handle inbound requests, conduct due diligence, and manage client communication across various platforms.
  8. Ensure clear and effective communication with clients, maintaining high satisfaction levels.
  9. Administrative Support:
  10. Assist with meeting coordination and manage travel and event logistics.
  11. Maintain accurate records of internal meetings and email correspondence.
  12. Support rsvping events - sometimes as many as 20-30 in an event week - and support applications to speak at events as well
  13. Manage special projects and ad-hoc assignments as required.
  14. Guest coordination, Content Management, Distribution and QA/QC support
  15. Manage Guest Coordination and conduct pre-production podcast tasks
  16. Perform extensive QA/QC on each show including titling, SEO, descriptions, actual show content, and social posts

  6. High level of attention to detail to ensure accuracy in all tasks and communications.
  7. Commitment to maintaining high-quality standards in all aspects of work.
  8. Communication & Client Management Skills:
  9. Excellent written and verbal communication skills in English.
  10. Ability to communicate effectively with clients, team members, and external partners.
  11. Analytical and Reporting Skills:
  12. Ability to read, interpret, and analyze data for client reporting and internal review.
  13. Proficiency in creating detailed reports on project performance, client success metrics, and campaign outcomes.
  14. Flexibility and Adaptability:
  15. Ability to thrive in a fast-paced, dynamic environment.
  16. Adaptable to changing priorities and able to handle unexpected challenges with ease.
  17. Strong critical thinking and problem-solving skills.
  18. Ability to identify issues, develop solutions, and implement changes effectively.
  19. Technical Proficiency:
  20. Communication and Collaboration tools such as Slack, Gsuite
  21. Project Management and Documentation tools like Monday, Asana, Quickbooks
  22. A basic understanding of Marketing and Social Media management tools such as Loomly or Substack
  23. Proficiency with a range of tools including:
  24. Bonus skills:
  25. Graphic Design Skills including proficiency in using graphic design software like Canva or similar tools and an ability to create appealing graphics for various uses.

Preferred Experience

  1. Previous experience in operations management, particularly in media, tech, or events.
  2. Experience in client-facing roles, ensuring high levels of client satisfaction.
  3. Familiarity with the Web3 and AI space and related technologies - the more in depth knowledge the better 
  4. Proven track record of managing client relationships and ensuring customer satisfaction.
